What information we collect
When you use our contact form, you give us your name, work email address, and optionally your company name, company size, the services you are interested in, and a message. Please don’t include any other personal identifying information in your message, such as home addresses, ID numbers or bank details.
When you email or call us, we keep the details you give us and the correspondence itself.
Automatically, our website hosting provider keeps standard server logs that include your IP address, the date and time of your visit, the pages requested and your browser type. We do not use these logs to identify individual visitors.
How we use it, and our legal basis
- To reply to your enquiry and arrange a discovery call. We do this because you asked us to, or because it is in our legitimate interests to respond to people who contact our business.
- To provide our services, if you become a client. This is necessary to carry out our contract with you.
- To keep our website secure and working. This is in our legitimate interests.
- To meet legal and accounting obligations, where they apply to us.
We do not use your details for marketing unless you have asked us to or agreed to it. We do not sell your information, and we do not make decisions about you using automated processing or profiling.
Who we share it with
We share information only with organisations that help us run the website and our business, and only as far as they need to:
- IONOS, our website hosting provider, which hosts this website, sends the emails generated by our contact form, keeps server logs, and hosts the database where we keep our contact records;
- Microsoft, which provides our email (Microsoft Exchange) and Microsoft Teams, which we use for video calls and meetings;
- our professional advisers (such as accountants or lawyers), where necessary; and
- the police, regulators or courts, if we are legally required to.
These providers act on our instructions and are required to protect your information.
How long we keep it
- Enquiries that do not lead to work: up to 12 months after our last contact with you, then we delete them.
- Clients: for the length of our relationship, then for as long as we need to for legal, tax and accounting reasons (usually six years).
- Server logs: for the period set by our hosting provider, normally a few weeks.
Cookies and tracking
This website does not use cookies, analytics or advertising trackers. Our fonts and images are served from our own website rather than from third parties, so your browser does not contact other companies when you visit. If we add analytics or other tools in future, we will update this page and ask for your consent where the law requires it.
Where your information is stored
Our website and contact database are hosted by IONOS in the United Kingdom. Our email and Teams data are stored by Microsoft in the United Kingdom. If information is ever transferred outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to us using it where we rely on legitimate interests; and
- ask for your information in a portable format, where that applies.
